Team Secretary – Part Time
Leeds
£20,000 (Pro Rata based on a 16 hour week)
A Global Commercial Real Estate services company has an immediate requirement for a capable Team Secretary to provide a whole range of secretarial and organisational support to the Valuation’s Team in their Leeds city centre.
Core Responsibilities:
- Fast and accurate copy and audio typing (min 55wpm)
- Provide high level support in production of presentations, pitches, reports, proposals in line with manager’s / Director’s requirements, could include proofreading, creating charts/graphs, managing versions of edits and documents
- Assist the team in meeting their financials reporting objectives and line management duties,
- Schedule, book and arrange resources for conferences, meetings, appointments
- Ensure the team diaries, appointments and travel are efficiently organised
- travel, following firm policies for contracting with external and internal suppliers
- Provide general office support including faxing, photocopying, filing, typing letters, scanning, binding, archiving, opening and disseminating post, dealing with queries when necessary
- Answer telephone and email queries promptly for absent team members
- Act as focal point of contact and an efficient liaison between colleagues and clients
- Be gatekeeper to manager’s working time – Efficiently and proactively organise manager’s / Director’s diary, appointments and travel
- Accurately record diary commitments and business pipeline opportunities on office database, on a regular basis
- Take accurate minutes at meetings when required
- Ensure optimal prices are obtained for travel and stationary
- Maintenance of any electronic filing systems/other filing systems
- Provide suggestions to improve and streamline team processes and procedures
- Assist in the management of agreed projects from time to time
- Undertake voluntary or nominated duties in order to ensure the smooth flow of work through the wider team and office
- Assist and support on Promaps and Go plans
- To carry out any other reasonable duties as dictated by the needs of the service or as identified by the Manager / Directors.
Knowledge & Experience:
- Highly proficient in all Microsoft programmes including MS Word, PowerPoint, Excel and Outlook
- Ability to set up conference calls and WebEx’s using the required technology
- Client relationship management skills
- Excellent business English both written and oral
- Accurate typing speed of 55 wpm
- Demonstrable Secretary experience
- An aptitude for an interest in database management and figures
- Demonstrate technical competence in areas relevant to the role
- Experience in putting presentations together in PowerPoint.
- Experience working in the property sector or financial or professional services firm an advantage, however not essential
